EXECUTIVE ASSISTANT

Position Purpose

Provide administrative support to and relieve executive of administrative details by independently addressing/resolving inquiries and problems. Review and distribute incoming correspondence, screening calls, travel and meeting coordination, report generation and financial management for the Chairman.

Essential Job Functions

  • Manage and perform all office administrative duties required by position including but not limited to composing correspondence, spreadsheets and filing.
  • Act as “gatekeeper” for calls; communicate on Chairman’s behalf both internally and externally as needed. Function as liaison as needed in executive’s absence in a professional manner.
  • Manage both personal and professional calendars.
  • Complete cost and time effective travel arrangements for business and personal travel. Prepare itinerary, trip file, and supplies as needed.
  • Independently plan meetings with others as necessary; Coordinate meetings including the ordering of meals, set up of area and the breakdown and cleaning of the area. Must be on hand for all meeting breakfast, lunch, or dinners.
  • Prepare, submit and track petty cash, budgets, bank and credit card accounts- perform monthly reconciliations and coordinates payment arrangements.
  • Maintain paper and computer filing systems, storage and retrieval of files.
  • Full responsibility for incoming/outgoing mail. Arrange essential mail in priority action order.
  • Maintain and manage weekly and monthly report distributions.
  • Other assignments as may be deemed necessary by executives.
  • Accountabilities

  • Screening calls, making travel and meeting arrangements, preparing reports and managing financial data. Relieve executive of all administrative detail and projects.
  • Confidentiality, sound judgment, and business savvy.
  • Maintaining positive relations and interaction with people at all levels inside and outside of the organization in a professional and courteous manner imperative.
  • Qualifications

    Education:
    Associates Degree or equivalent.
    Experience:
    Minimum 5 years administrative support experience in progressively more responsible roles.
    Skills:
    Microsoft Office proficiency: Word, Excel, PowerPoint and Outlook.
    Minimum 50 WPM accurate typing; speedwriting or shorthand, a plus.
    Ability to complete multiple tasks independently and meet deadlines.
    Highly organized with strong verbal and written communication skills.
    Ability to compose written correspondence without direction or supervision.
    Knowledge of accounting principles, investments, real estate a plus.
    Must interact well with upper management/executives, other workers and professional staff.
    Must be a team player.

REAL ESTATE INVESTMENT MANAGEMENT ASSOCIATE

Position Purpose

Terranova is seeking an Associate to join their Investment Management Team working directly with senior management. The role will be based in the firm’s Miami Beach office. The Associate will work on various real estate focused investment strategies (core-plus, value-add, opportunistic, development and debt) across all property types in major markets and be involved in all facets of the investment process (acquisition, re/development, asset management and disposition).

General Responsibilities

  • Assist in the underwriting and execution of new and existing opportunities
  • Assist in the on-going development, asset management and operational activities of investments
  • Create complex dynamic financial models, including modeling joint-venture structures. (Build sensitivity analyses of sales, construction, timing, capitalization, etc. and their effects on project profitability
  • Conduct hold-sell and refinancing analyses
  • Responsible for developing investment, financing, and joint venture memoranda
  • Help to develop business plans, monitor business plan performance, and react to correct and variances top maximize value
  • Conduct due diligence for potential investments
  • Create, manage and update reports, project budgets, schedules and cash flow projections
  • Prepare regular financial analysis and market research for senior management
  • Create asset level reports for internal management and external investors
  • Continually research and report on latest market trends, both locally and internationally
  • Assist in special assignments as needed
  • Other responsibilities may and will be assigned

Qualifications
